This policy explains how Racqlo collects and uses your personal data when you use the Racqlo app (the “App”). Racqlo operates the App and is responsible for your Racqlo account.
Racqlo is a platform used by many clubs. When you check in at a club, you join that club’s own rewards programme (a “Programme”), and that club decides how its Programme runs: what a visit is worth, which rewards it offers, and what it sends you. For the membership data held under its Programme, the club is responsible alongside us. Each club you join sees only your membership at that club.
When you sign up and use the App, we collect:
We don’t collect your precise location. Your membership pass (QR code) contains no personal information. It’s a short-lived, single-use reference number that only becomes linked to your visit once staff scan it.
We process your membership data because it’s necessary to provide the Programme you’ve signed up to (contractual necessity). We rely on your consent for marketing communications, and on our legitimate interest in keeping the Programme secure and well-run for fraud prevention and service improvement, always balanced against your rights.
Staff at a club you have joined can see the membership details needed to run that club’s Programme: name, email address, tier, points, and visit history at that club. They cannot see your membership at any other club.
A club can also download those details as a spreadsheet, for its own accounting and analysis. That file contains your name, member number, tier, points and visit history at that club, never your email address or date of birth. Staff can see your email address on screen, to answer a question about your own membership; it cannot be downloaded, so a member list cannot leave Racqlo in a form anyone could mail. A club that wants to contact you does so through the App, where your notification and marketing choices still apply.
We use the following service providers to operate the App, each acting under our instructions:
We don’t sell your data, and we don’t share it with anyone for their own advertising purposes.
We keep your membership data for as long as your account is active. If you delete your account, we anonymise your profile (removing your name and email address) and end your membership immediately. We keep an anonymised record of past visits, points, and redemptions, with no name attached, since we and the clubs you visited have a legitimate need to keep aggregate Programme history for accounting and analytics.

If you’re not satisfied with how we’ve handled your data, you have the right to complain to the UK Information Commissioner’s Office (ico.org.uk).
You must be 16 or over to hold a Racqlo account, and you confirm that when you sign up. We don’t knowingly collect data from anyone under that age, and we’ll close an account and delete its data if we find we have.
Your data is stored with access controls that restrict it to your own account and to authorised staff at the clubs you have joined, and is encrypted in transit. No system is completely secure, but we take reasonable steps to protect your information.
We may update this policy from time to time. We’ll let you know about material changes in the App.
